We design EvolMentra with children’s safety and family trust first. We collect only what we need to provide our services. We do not sell personal data. Parents, schools, and clinics stay in control.
Who we are
EvolMentra, LLC (a Service‑Disabled Veteran‑Owned Small Business) provides calm, adaptive tools for children and support dashboards for adults.

This policy explains what we collect, why we collect it, how we use it, who we share it with, and your choices. It applies to our website, pilot programs, and app experiences.
Children’s privacy (COPPA)
We follow the U.S. Children’s Online Privacy Protection Act (COPPA). We do not knowingly collect a child’s personal information without verified parental consent or consent from a school/clinic acting as the parent’s agent for educational purposes.
Education records (FERPA)
When we work with schools, we act as a “school official” under FERPA with a legitimate educational interest. We process student information only for educational purposes set by the school and per written agreements.
Health information and pilots (HIPAA alignment)
EvolMentra is generally not a covered entity under HIPAA. For pilots with clinics/therapists where HIPAA applies, we use HIPAA‑aligned safeguards and can sign Business Associate Agreements (BAAs) as needed.
Information we collect
- Contact info: parent/guardian or staff name, email, phone (if provided).
- Child profile (with consent): first name or nickname, age range, preferences, goals.
- Activity data: in‑app choices, session durations, progress summaries.
- Technical data: device type, browser, approximate location (from IP), app version, diagnostics.
- Communication: messages you send us, support requests, and survey responses.
Why we collect it (our purposes)
- Provide and improve the app’s calm, adaptive activities.
- Show simple progress summaries for adults who support the child.
- Secure the service, prevent misuse, and troubleshoot issues.
- Send updates you request (for example, pilot invites or product news).
- Comply with legal obligations and school/clinic agreements.
How we use technology responsibly
We use algorithms to adjust pace, visuals, and prompts. We do not use personal data to build advertising profiles. We do not show ads.
Sharing information
- Service providers: trusted vendors that help us run the service (e.g., email lead capture like Mailchimp; secure form routing like Formspree; hosting/CDN like Netlify). They may only use data to provide services to us.
- Schools/clinics: with your permission or under FERPA‑compliant agreements for educational/clinical purposes.
- Legal: if required by law or to protect safety, rights, or security.
International transfers
We may process data in the United States and other countries with appropriate safeguards (for example, Standard Contractual Clauses where applicable).
Your choices and rights
- Parents/guardians: review, correct, or delete a child’s information; withdraw consent at any time.
- Schools/clinics: control data as set in our agreements.
- Marketing emails: opt out anytime via the unsubscribe link.
Data retention
We keep personal data only as long as necessary for the purposes above or as required by law or our contracts with schools/clinics. If an account becomes inactive or you withdraw consent, we will delete or de‑identify personal data within a reasonable period.
Security

- Role‑based access, least‑privilege practices, and audit logs.
- Vendor reviews and confidentiality obligations.
Cookies and analytics
We aim to minimize tracking. If we use analytics, it will be privacy‑respecting and only to improve the service (no targeted ads). You can block non‑essential cookies in your browser.
